Te Whiwhinga Mahi | The Opportunity
Reporting to the Special Projects Lead, the Special Projects Coordinator will play a key role in supporting and the coordination of ongoing and new projects, including cross-directorate and cross-college projects, as well as assigned committees.
Key Responsibilities:
- Assist with smooth running of the projects, including organising relevant meetings (online and face-to-face), preparing agendas, writing minutes and reports and follow-up actions.
- Assist with maintaining registers and supporting documentation relating to the projects.
- Assist with timely communications to relevant audience in consultation with the Communications team.
- Assist with the maintenance of relevant website content.
- Provide committee coordination to the assigned committees (online and face-to-face), which involves preparing agendas and writing minutes, follow-up actions, and support for any subproject groups as required.
- Assist with the preparation of documents/proposals for the RANZCOG committees, and circulation to relevant stakeholders (e.g. College members and staff), and collation and consolidation of feedback.
- Liaise with staff from other directorates, committee members, Fellows, trainees and external stakeholders to share/obtain information relevant to activities.
- Contribute to a kind, courteous, collaborative and professional teamwork culture.
- Support and maintain a safe and healthy work environment and adhere to all work health and safety requirements.

- Undertake other duties as directed by the Special Projects Lead and Executive Director, Education Development.
Ko wai koe | About you - Key Selection Criteria
- Sound experience supporting projects, committees, or similar bodies within a professional administrative environment.
- Experience facilitating online meetings using Zoom and other videoconferencing platforms.
- Excellent written communication skills, with a strong track record of preparing accurate meeting agendas, minutes, reports, and correspondence for diverse audiences.
- Well-developed interpersonal skills, with the ability to liaise effectively with a wide range of stakeholders, individuals, and groups.
- Strong attention to detail, and the ability to initiate improvements to procedures and process.
- Strong organisational and time management skills, with the ability to prioritise tasks and manage competing deadlines to deliver high-quality outcomes.
- High level of computer literacy, including proficiency in the Microsoft Office suite.
- Demonstrated ability to work both independently and collaboratively within a team environment.
- Genuine interest in and commitment to women’s health and health education, along with a positive attitude toward ongoing learning and skill development in an educational setting.
- Strong interpersonal qualities, behaviours, and experiences consistent with RANZCOG's organisational values
